How to Compare Used Copier Quotes: Price, Delivery and Setup

by Copier Liquidation Center on October 05, 2026

By Copier Liquidation Center. October 5, 2026.

A useful copier quote identifies the machine, its condition, the included equipment and the total cost to get it working at your location. Before choosing the lowest advertised price, make sure each seller is quoting the same job.

What information should I send a copier dealer?

Provide your estimated monthly page volume, whether you need color, your largest paper size, scanning needs and required finishing such as stapling. Include your delivery ZIP code, desired timing, stairs or elevator access, and whether an existing copier needs removal. Ask the seller to confirm which services are available and included.

Seven things to compare in writing

  1. Exact model: include the complete model number and suffix. A related model may have different capabilities.
  2. Condition: request the current meter reading, inspection details and a description of cosmetic wear. Ask which photos show the actual unit.
  3. Accessories: confirm the feeder, paper trays, finisher, fax equipment and any optional features you require.
  4. Equipment price: identify the outright purchase price separately from delivery, taxes and optional services.
  5. Delivery: distinguish freight drop-off from inside placement, unpacking and installation. State access restrictions before accepting a quote.
  6. Setup: confirm which printing and scanning workflows will be configured and tested, and what your IT team must provide.
  7. After-sale terms: compare the written warranty, exclusions, return process and arrangements for future maintenance.

Is the lowest equipment price always the best deal?

No. A lower-priced machine may exclude an accessory or service you need. Conversely, a more expensive package may include services you will not use. Compare equivalent configurations and the delivered total, then consider supplies and maintenance for your expected workload.

Should I compare a lease payment with a purchase price?

Keep those offers separate. A monthly payment is not the full purchase cost. Ask for the payment term, what is included, any additional charges and the end-of-term arrangements. Copier Liquidation Center sells machines outright, so our inventory is an option for offices that want to purchase their copier.

How does delivery work when I buy from you?

Our service-area page explains in-person delivery and installation in California, Nevada and Arizona, and freight delivery elsewhere in the continental United States. Freight delivery does not include the same setup services. Confirm your location and requirements before placing an order.

What if I am still choosing between Ricoh generations?

Our MP vs. IM and MP C vs. IM C guide explains older and newer black-and-white and color families. Match the machine to your work rather than judging by the family name alone.
