A CPA office should choose its copier for the work it needs to finish during busy periods, not just an average quiet week. Tax-season document packets, client copies and scanning can place very different demands on a shared machine.
Our sales experience provides a practical starting point: consider the Ricoh IM 4000 for a two- or three-person office, and the Ricoh IM 7000 for a larger team of around ten or more with substantial black-and-white printing.
The IM 4000 prints at a rated maximum of 40 pages per minute. It is a useful option to evaluate for a smaller practice that wants a shared office copier without buying more machine than its workload calls for.
Count how many pages you produce and how often two people need the copier at once. A small staff can still generate a heavy workload, especially when large jobs arrive together.

For ten or more people sharing frequent, substantial printing, we prefer considering the IM 7000. Its rated maximum of 70 pages per minute offers more output speed, but the complete setup matters as much as the speed number.

Five connected computers do not automatically require a particular model. If most work is digital and printing is occasional, needs may be modest. If several staff members regularly submit long jobs, compare faster equipment and the time spent waiting.
Specify a compatible finisher for automatic stapling and the correct punch unit for two-hole or three-hole documents. These functions depend on the installed accessories; do not assume they come with every used machine or advertised base price.
Tell us whether staff need separate sorted sets, stapled packets, or documents ready for binders. Confirm the exact equipment in the quote.
Compare purchase cost with supplies, service, warranty, installation and accessories. Buying extra speed makes sense when it solves a real bottleneck; buying solely by staff count can leave you with the wrong machine.
