Does a higher speed justify a higher price?

Start with your busiest routine job. An office printing short proposals may care more about the first page and convenient scanning than continuous output speed. An office producing long report sets may benefit more from speed and finishing. Time a representative file, including duplexing and stapling, if those are part of your work.

Ricoh vs Canon: make scanning part of the test

Ask each seller to demonstrate a multi-page scan to your intended destination. Specify whether you need searchable PDFs, two-sided scanning, user authentication or a document-management connection. An available feature may require an option or license; a brochure does not show what is installed on a particular used machine.

For a Ricoh quote, describe the workflow rather than simply requesting “scan to email.” That lets us discuss the machine and setup requirements before delivery. Your IT provider should confirm compatibility with your current network and email settings.

Ricoh vs Sharp: compare the installed paper handling

Check the actual feeder, input trays and finisher. Sharp's BP-70C45 specification sheet, for example, lists a 300-sheet document feeder in the base configuration. That may matter for large scanning batches. It does not decide whether a used unit is a better purchase for an office scanning short sets.

List the finishing tasks you use: corner staples, hole punches or folded booklets. Ask for the exact accessories and confirm they are included in the delivered price. Ricoh and Sharp finishers are not interchangeable simply because both perform stapling.
